Administration Officer (Transport)
About the Role
We are looking for an organised and proactive Administration Officer to join Merton’s Passenger Transport Team.
You’ll provide essential administrative support to the Passenger Operations & Fleet Manager and Supervisors, helping to deliver safe, reliable transport services for children with Special Educational Needs (SEN) and Adult Social Care service users.
This is an excellent opportunity for someone with strong administrative skills who is interested in developing a career in transport operations and management.
Key Responsibilities
- Provide day-to-day administrative support to the Transport Management Team.
- Prepare staff communications, reports and KPI information.
- Assist with route planning and transport scheduling.
- Liaise with parents, schools, social care teams and other stakeholders.
- Monitor transport records and maintain accurate databases.
- Process correspondence, invoices and other administrative documentation.
- Respond to telephone and email enquiries professionally.
- Support compliance with safeguarding, DBS and transport regulations.
- Assist with vehicle and driver compliance records.
- Learn the duties of a Transport Supervisor and provide operational support when required.
About You
We’re looking for someone who is:
- Highly organised with excellent attention to detail.
- Confident using Microsoft Office 365, particularly Outlook, Excel and Word.
- Able to prioritise a busy workload and meet deadlines.
- An excellent communicator with strong customer service skills.
- Comfortable working with confidential information.
- Proactive, flexible and willing to learn.
- Able to build positive relationships with colleagues and external partners.
Essential Skills & Experience
- Previous administration experience
- Strong Microsoft Office skills
- Excellent organisational and communication skills
- Ability to work independently and as part of a team
- Experience maintaining accurate records and data
- Good problem-solving skills and attention to detail
Desirable
- Experience within transport, logistics, local government or passenger services.
- Knowledge of safeguarding procedures.
- Experience with route planning or scheduling systems.
- Understanding of transport compliance and vehicle operations.
